The flexible way to print: A JDF workflow with dots software

The Hanover Chamber of Commerce (IHK) has a central in-house print room to print its mailings and brochures. Thanks to a JDF empowered workflow employees can control the layout and processing without leaving their desks.

Around 34,000 of its 110,000 member businesses are on the companies register. Unsurprisingly, the Chamber produces a correspondingly large volume of material such as brochures, circulars and invitations to seminars, generating print volumes of 200,000 pages per month for its in-house print room.

“What we used to do is print each page once. Then we’d send the individual pages along to the print room, which would produce the plate and offset-print it,” explains Ulrich Schulz, who heads the IT department at Hanover Chamber of Commerce. “If the work started to logjam, we’d send jobs of this nature out to external providers.” In the long run, though, there was too much administrative overhead and not enough flexibility to this approach. So the Chamber defined a new target: to empower personnel to print their brochures in-house exactly to their own design specifications. The Chamber put out a bid for tenders – and soon after, the high-maintenance offset press was replaced by a modern printing and copying device.

As well as the increased reliability and reduced costs of the new print technology, the Chamber also benefited from an optimized internal workflow – powered by software by Berlin print software specialist dots. The 80 or so Chamber employees who are networked with the print room simply select a printer in desktop applications such as Microsoft Word, choosing the desktop printer for just a few copies, or the in-house print room for higher volume jobs. For print room jobs, the dots software offers a special menu in which users can make settings such as the number of copies or document finishing options – like folding or stapling for brochures. Digital job tickets are generated in place of the hardcopy ones, and information from the job ticket also serves as input in cost allocation and other applications. The ready-generated print jobs go to print room staff, who prioritize and process them according to urgency.

An internal Chamber directive determines that jobs with over 100 copies have to be produced using dots software and the in-house print room rather than on employees’ own printers, since the central solution is far more cost-effective. A further advantage of dots software is that it does not impose any restrictions on the choice of hardware, since it works with any make of PostScript printing system.
